Track evidence for inspection follow-up items

An inspection report identifies findings, but the follow-up may require a specialist assessment, quote or documented repair. Track the next evidence needed for each material item. Keep the original report intact and distinguish a seller response from independent confirmation of completed work.

Work through the decision

  1. Give each follow-up item a reference.
  2. State the evidence needed next.
  3. Assign the relevant professional or vendor.
  4. Record the result and remaining question.

For each action, name the person responsible for preparing the response and the person who approves it. Record what evidence would close the item. If new information changes cost, timing or scope, update the affected plan and identify who needs the revised version.

Common failure to avoid

A photograph of work in progress may not establish that a technical concern was resolved. Ask the appropriate professional what completion evidence is relevant.

Worked example

A hypothetical report recommends further evaluation of a system. The board records the specialist appointment, attaches the result and leaves any estimate or repair decision as a separate next step.
