Identify the exact items expected to convey

Descriptions such as “furnished” can leave the buyer uncertain about the actual items included. An identifier register uses room, item, condition and a photograph reference to support the transaction discussion. The executed agreement governs what conveys; this register helps the buyer and responsible professionals identify ambiguities.

Evidence to assemble

Gather the source records before completing the worksheet. A missing record should remain an open question. Keep the original alongside any summary so the next person can trace the decision.

Work through the decision

  1. Assign identifiers to disputed or important items.
  2. Record condition and exact description.
  3. Request clarification for exclusions.
  4. Compare final handover with the agreed list.

For each action, name the person responsible for preparing the response and the person who approves it. Record what evidence would close the item. If new information changes cost, timing or scope, update the affected plan and identify who needs the revised version.

Common failure to avoid

Do not treat an inventory spreadsheet as a substitute for the purchase agreement. Ask the transaction professionals how any inclusion must be documented.

Worked example

In an illustrative sale, the photographs show outdoor furniture that the seller intends to remove. The register identifies the set and prompts clarification before the buyer includes it in the opening plan.

This is an illustrative workflow, not a client case study or a forecast. Replace the example’s facts with the records for your own project.

Close the handoff

A finished worksheet should identify the result, its evidence and any remaining owner. If the result is uncertain, record the next action instead of marking the whole task complete. Keep the worksheet with the relevant source file and tell the receiving person which version applies.
