Track seller document requests by decision deadline
A buyer may request many records without knowing which unresolved item affects the next decision. A status board connects each request to the issue it addresses and the deadline that matters. Keep the board separate from contractual deadlines and have the responsible professionals confirm any legal consequences.
Evidence to assemble
Gather the source records before completing the worksheet. A missing record should remain an open question. Keep the original alongside any summary so the next person can trace the decision.

Work through the decision
- Tie each request to a decision.
- Record date requested and received.
- Identify incomplete responses.
- Assign follow-up before the relevant decision date.
For each action, name the person responsible for preparing the response and the person who approves it. Record what evidence would close the item. If new information changes cost, timing or scope, update the affected plan and identify who needs the revised version.
Common failure to avoid
A document marked received may still be incomplete or cover the wrong period. Record review status separately from receipt status.
Worked example
A hypothetical buyer receives revenue records for only six months after requesting a full year. The board records the partial response, identifies the missing period and keeps the annual revenue question open.
